Team Assistant

   Interim  

For a maternity leave cover at our client in Amsterdam area, we are currently looking for a Team Assistant. Ideally, you are available from the 1st of August until mid-December 2017.

You will be providing a consistent level of high quality support on director-level, as well as to their respective teams. Our client is looking for someone dynamic, energetic, and creative, who has been working in an administrative capacity for 3 to 5+ years.

 The responsibilities will include:

  • Operating effectively and efficiently in a fast-paced, dynamic work environment;
  • Providing a consistently high level of quality team coordinator support to the Directors and their teams:
    • Calendar/Inbox support for directors;
    • Arranging meetings, appointments, telephone and video conference calls;
    • Making travel arrangements;
    • Dealing with telephone calls and helping out as necessary, as appropriate providing telephone screening;
  • General Assistant/Coordinator and administrative duties, e.g. filing expense processing, etc.;
  • Budget monitoring:
    • Monitoring team expenses;
    • Monitoring hiring process for contractors;
    • End to End Purchase order process: request, follow up approvals, payments and closing;
    • Ensuring the department filing systems (HR, finance, facilities, etc.) are always up to date;
  • Acting as a team contact person for IT, HR and Facilities (e.g. floor plans, team org charts, IT equipment requested, etc.;
  • Acting as the contact person for the directors, dealing with clients, employees and external customers on a global level;
  • Preparation of weekly reports;
  • Helping to coordinate department as well as organise team activities, conferences, meetings, etc.;
  • Coordinating and consolidating inputs for the team;

 If you have/are:

  • Excellent English language skills (knowledge of the Dutch language or any other European languages would be advantageous);
  • Excellent interpersonal and communications skills;
  • Willing to work as part of a team;
  • A highly motivated self-starter, who is able to work with minimal supervision to complete their assigned task;
  • Excellent organizational and administrative skills;
  • Level-headed and able to prioritise and work under stress and tide deadlines;
  • Resilient and flexible to adapt to fast changing situations and circumstances;
  • Good Microsoft Office computing skills: Word, Excel, Power Point, Outlook;
  • Ability to deal professionally with confidential information;
